Office and Retail Buildout Debris: What Tenants Leave Behind

Tenant improvements produce ceiling grid, cubicles, carpet tile, fixtures and a lot of cardboard. How to stage a trailer on a commercial site in Tampa Bay.

A tenant moves out, a tenant moves in, and between the two there is a buildout: walls come down, ceilings come out, cubicles are broken down, the old carpet goes. Property managers and small contractors across Clearwater, Largo, St. Petersburg and Tampa handle this constantly, and a dump trailer on site for the duration is the simplest way to keep the space clear while the work goes on.

What a buildout produces

  • Drop ceiling: grid, which is light steel and scrap, and tiles, which are light, dusty and bulky
  • Partition walls: drywall and metal studs — drywall is general debris, studs are scrap
  • Cubicles and office furniture: panels, desks, chairs, filing cabinets. Break panels down; filing cabinets are scrap
  • Flooring: carpet tile, glue-down carpet, VCT, sometimes ceramic — carpet is bulky, tile is heavy
  • Millwork, reception desks, shelving and retail fixtures
  • Doors, frames and hardware
  • Packaging from everything new: pallets, cardboard, foam, strapping

Almost all of it is light. The exceptions — ceramic tile, concrete from a saw-cut floor, a masonry knee wall — count as heavy material and stay within the 5-yard heavy limit on the trailer floor.

Placement on a commercial property

The trailer is 12 feet by 7 feet and needs a straight run for the truck. On a commercial site that usually means a loading area, a rear service lane, or a marked-off pair of parking spaces near the tenant's door. Confirm the spot with the property manager before delivery and keep it out of fire lanes, accessible spaces and drive aisles. After-hours placement is available for businesses that would rather not have a delivery during trading hours.

Weekly or 28-day

A short buildout — a paint-and-carpet refresh with some demo — fits the $375 weekly rate with free delivery and pickup. A larger tenant improvement that runs three weeks or more is better on the 28-day rate at $795, with the trailer swapped for an empty one whenever it fills. Each rental includes one ton, and additional weight is $59 per ton with the PCSW scale receipt provided for the job file.

Separating what has value

  • Ceiling grid, metal studs, filing cabinets, shelving and door frames are scrap steel — stack them in their own pile and they stay out of the disposal weight
  • Usable office furniture can often be donated or sold; a used-furniture dealer will sometimes collect it
  • Pallets are frequently wanted by someone; cardboard is recyclable
  • Fluorescent tubes from old fixtures contain mercury and go to a proper recycling route, never the trailer

Keeping the site clean and the manager happy

  1. 1Stage demo material inside the suite and carry it out in one push each day rather than trickling it across the parking lot.
  2. 2Sweep the loading path daily. Screws and drywall dust travel on shoes into neighboring suites.
  3. 3Tarp the load at close of business.
  4. 4Call for pickup as soon as it's full. A full trailer sitting for a week on a shared lot is what draws complaints.
  5. 5Keep the scale receipts and invoices together — property managers often need them for the tenant's file.
